When you access our Service, we automatically collect:
- Usage Data: Search queries, pages visited, features used
- Usage Metrics: Counts used to apply account limits (e.g. number of searches, exports, document scans per day or month). These limits may change from time to time as the service evolves.
- Device Information: Browser type, operating system, device type
- Log Data: IP address, access times, referring URLs

We do NOT sell your personal information. We may share data with:
- Service Providers: Third parties that help us operate our Service (hosting, analytics)
- Google: If you use Google Sign-In, subject to Google's Privacy Policy
- Mistral AI: Scanned (image-based) documents uploaded for the Document Scan feature are processed by Mistral AI's service. See Document Scan Feature below.
- Legal Authorities: When required by law or to protect our rights

We implement appropriate security measures including:
- Encryption of sensitive data in transit (HTTPS/TLS)
- Secure password hashing (bcrypt)
- Access controls and authentication
- Regular security assessments
Note: While we strive to protect your data, no method of transmission over the Internet is 100% secure. We cannot guarantee absolute security.
5. Data Retention
We retain your data for as long as:
- Your account is active
- Needed to provide you services
- Required by law or for legitimate business purposes
Uploaded documents: PDFs you upload for the Document Scan feature are not stored; they are processed and then discarded.
Exported files: CusDec and VDF exports (Excel or XML) are generated on demand. We do not retain copies of your exported files on our servers.
You can request deletion of your account and associated data at any time.
6. Your Rights
Depending on your location, you may have the right to:
- Access: Request a copy of your personal data
- Rectification: Correct inaccurate or incomplete data
- Erasure: Request deletion of your data
- Portability: Receive your data in a portable format
- Objection: Object to certain processing of your data

7. Third-Party Services
7.1 Google Sign-In
If you sign in with Google, we receive your name, email, and profile picture from Google. We do not receive your Google password. Please review Google's Privacy Policy.
7.2 Analytics
We use Google Analytics to understand how visitors use our site. Google Analytics collects information such as how often users visit, what pages they visit, and what other sites they used prior to coming to our site. We use this information to improve our Service.
7.3 Document Scan Feature
When you use the Document Scan feature to upload PDF documents (e.g. invoices) for data extraction:
- No document storage: We do not keep copies of the PDF files you upload. Data is extracted and used to update your CusDec or VDF; the original files are not retained on our systems.
- Digital PDFs (computer-generated): These are processed using an AI model hosted on our own servers. Your PDF is not transferred outside our environment.
- Scanned documents (image-based PDFs): These are processed by a third-party provider, Mistral AI, which adheres to European Data Security Standards. The document content is sent to Mistral for extraction only; we do not retain the PDF. You can review Mistral's privacy policy at https://legal.mistral.ai/terms/privacy-policy.
Your choice: If you prefer not to use third-party processing, you can use only digital (computer-generated) PDFs, which are processed entirely on our servers.
8. International Data Transfers
Your data may be transferred to and processed in countries other than your country of residence. We ensure appropriate safeguards are in place for such transfers.
9. Children's Privacy
Our Service is not intended for children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date.
